Holladay Properties is a full-service property management firm with an extensive portfolio and as such, was in need of several systems to manage and improve their business processes. Their needs included: a solution to track and generate leases, manage preventive and corrective work orders for their properties, store contracts and other building-related documents, retain contact information both for their tenants and their executive clients, report on physical assets in the buildings, and more. FM Link was built to address all of these needs.
Currently on version 2.x, FM Link was initially created to be an asset management tool but soon expanded to process tracking, document management, work order generation, et al. The process tracking module has become a cornerstone not only of FM Link but of Holladay's business process in general. Through a graphical interface, administrators can design a process to a specific set of tasks, large or small, which will always keep the necessary employees in the loop. The FM Link dashboard alerts users to any outstanding tasks assigned to them and allows them to upload files, add notes, auto-generate documents (such as leases) -- all of which stay connected with the process so that other users involved can view them down the line. Once completed, FM Link's reporting mechanism allows executives to analyze the processes relative to their expected completion times to identify phases in the process that are under-performing.
As a document management system, FM Link has redefined the way that Holladay employees can find documents for their day-to-day activities. Whether it's a property manager meeting with a tenant to discuss a lease or an accountant building a report for their client, FM Link provides quick access to an archive of documents that pertain to the task at hand.
The system includes a work order request and processing module that allows tenants to submit corrective maintenance tickets as well as automate the creation of scheduled preventive maintenance, such as inspections and cleanings. This module ensures that all core assets are being serviced in a timely fashion and also provides data to company engineers for failure analysis. These benefits have led to considerable cost savings as assets need to be replaced less often and, when they do need replacing, they are replaced with models that have demonstrated a strong track record of reliability.
FM Link has been the largest custom application that we have built thus far and it is consistently evolving to meet the needs of the client. Between custom reports and new modules, we expect FM Link to grow with Holladay's business for some time to come.
